Keeping our courts in top shape is a regular and important job that all our Club Committees have to deal with.
The HTA is interested in your experiences with local contractors for:
1. Court lighting eg installation, replacing globes, LED etc
2. Court cleaning and repairs eg hardcourt grime removal, resurfacing etc
If you Club has recently either cleaned your courts or had lighting work done, please confidentially email president@hta.asn.au, we would be interested in a totally confidential summary of your experiences across the Hills, good and bad.

The summary is that the software doesn’t yet work, but you are welcome to try it and to report your experiences to Tennis Australia at play@tennis.com.au or 1800 PLAY TENNIS .
The HTA will advise Clubs once we feel the software is usable.

As you may know by now, League Manager is the new software introduced by Tennis Australia a few weeks ago which was promised to be able to create draws, schedule matches and, via Match Centre, allow for results entry and more…
By now, you will be aware of the problems Tennis Australia has had with their software roll out. Here is an update, direct from Tennis Australia.

Night Tennis is underway and we are finally ready to roll for HTA season 2015/16.
Thanks to all Clubs, you have been fantastic with your acceptance of all the imposed ‘last minute’ admin for this season and you will be pleased to know that we are now “gaining on it” and have most of the new season administration completed. Thanks for all your questions and I apologise to those who may not have received a reply, I hope the following covers everything to date.

1./3. Senior/Junior Software Procedures:
The Junior Draw will be announced shortly. Possibly later today/tonight.
The new software provided by Tennis Australia is called League Manager, it replaces Competition Planner and Results Vault from last year. It should have your Club players and data from last year ‘brought across’. If not, you can contact Tennis Australia using the information below.
This season, every club needs one administrator to access “League Manager” so you can add other administrators and add your players to teams in the new software. Once each club has a main login, they can grant authorisation to others but it is preferably to only have no more than 3 people per club with access to League Manager to ensure those who are accessing the system know what they are doing. Captains/team supervisors etc are able to enter results using their player profile so do not need access to League Manager.
Can all clubs who currently don’t have a League Manager administrator please email Sue Hutson vice.president@hta.asn.au by 9am Friday 9th October with the club’s League Manager contact details (name, email and phone number). Sue will compile a list and forward to Tennis Australia to authorise them as administrators. TA need time to do this hence the deadline. If you miss the deadline then you will need to contact TA’s League Manager support team yourselves. This can be done by phoning 1800 PlayTennis.
Once you have access to League Manager, this is how you add your players to their teams for seniors and juniors:

“To enter teams:
Go to- http://leaguemanager.tennis.com.au
-log in (using the details that you got above)
-top left check that your club is listed there. If your club is not listed, if you have an arrow next to the club name, click on it and a drop down box will appear to change the club name (if this function is not seen, contact Tennis Australia support via the process below)
– your Club players from last season may/should be already in the system. If not, please contact Tennis Australia support, via the process below.
-on the left under Team Management click on Teams, then click on Teams Overview
-you will have a list of all your club teams, for seniors look for the ones under the category Adult. Under Gender, you will see three options Senior Mixed (Saturday Doubles and Midweek), Men’s (all Saturday trad men), Women’s (all Saturday trad women). Later in the week, a similar process will apply for your junior teams.
-Under Teams, click on the team you wish to add players to
-go to Manage Squad, enter surname of players and search, find the player and click select, they will then appear on the right under selected players, when you have found all your players (or as many as you can at this time), go to the bottom and press the green save button. (you can come back in and add players later when we can create new ones)
If you cannot find your player in your club list, uncheck the box ‘only search within current organisation’ and search again, if you see the players name (s), click on the name and a profile will come up to check that it is the person you require. I suggest if you aren’t sure do not select them.
At this stage ‘create player’ is not functioning. (This is one of the many TA software bugs and you may contact Tennis Australia support via the process below if you need to.)
Suggest that you just manage your squad with who you can and add the rest when the function is available.
-a good way to check that you are entering the team into the right division, scroll down the screen to the ladder to check the teams in that div, or go to fixture and check the teams playing against the program you have recently received for seniors (not sure if there is a better way to do this at this point, sorry)
Please not that ‘edit profile’ is also not functioning at the moment, so you may have some details not correct, this will need to be edited later.”
If any of this is not clear, if the software doesn’t work for you or if you have any questions, Tennis Australia have set up a special hotline process that you should use in order to fix any issues. Either email: play@tennis.com.au or phone 1800PlayTennis or you can try the online ‘chat’ feature which didn’t respond for me…..”
Chris also says “If that doesn’t work for you, don’t ring me. Ring Tennis Australia on the details above”.
2. The 2015/16 Rules Of Match and Play have been updated this season and will be released today/tomorrow in a separate communication for you to print out or link to, for your players.
4. How Do We Enter Results. Firstly, none of us have actually done this and so we are all experimenting together. Score entry will be done via software called Match Centre which is available at http://leagues.tennis.com.au . Just login using your Tennis ID (the same login you have from My Tennis ie it is now a single login for all Tennis Australia portals) and you ‘should’ see your matches and other information for all the games you play. Players can use their personal login to add scores. Parents/Team Admins can use a player login to add scores on the day ie only players and Club admins can enter scores so if you need to, do it via your child’s login etc. If you can’t login, please contact Tennis Australia support on the help email/phone/chat lines above.
Later, phone apps will become available which may be simpler to use on your phones at the actual courts on the day (if you have internet coverage etc) rather than the website. If your Club is going to stick with paper scoring as a backup in the early stages of this season (recommended by HTA), then whomever enters the scores into the new software will need to follow the above process, after the match. Senior/Night/Midweek scoresheets can be printed from the HTA website. Junior scoresheets have already been forwarded to Clubs. 30 hours from the start time of play is the expectation for results to be recorded in Match Centre. Some leniency, of course, will be offered at the beginning of this season because we are all experimenting with the software but please communicate: 1. with HTA if you can’t enter your results and need more time 2. Tennis Australia support – to fix any software problems you are having.

Dear Clubs,
The HTA Management Committee (MC) has been holding off releasing the draws, programmes and information about the upcoming Night Tennis, Midweek, Junior and Senior Competition seasons, awaiting completion of the new Tennis Australia software roll out.
Unfortunately, the software roll out is not complete and the HTA MC can wait no longer. We felt that all Clubs needed this update because all of you will quite rightly be wondering about many of the administration details for the new season.
Summary Background: Last season the HTA used Tennis Australia software called Competition Planner/Results Vault plus other in house methods to prepare draws, programmes etc. This year, Tennis Australia announced that it was replacing Competition Planner/Results Vault and the new replacement software is called League Manager and this was first fully released to HTA on 1 Oct (late this week). Our season also starts this week.
Whilst the HTA had some opportunity for superficial training in League Manager and some restricted pre-release access to League Manager the full release of the software on 1 Oct (late this week) by Tennis Australia has frankly not been timely to the HTA and as a result we are only now starting to finalise draws and programmes as a result.
If the HTA had it’s way, all of this new software would have been rolled out and tested many months ago over the winter period. The HTA has simply been forced through necessity to simply react to release schedule of this new software (only a matter of days prior to season start). The HTA has had no say in this process and the HTA has been promised that the new software will do certain tasks, only to find when attempted, that the software has faults which prevent the task and which have proved time consuming to rectify.
Currently, despite many meetings, conferences, conference calls and an enthusiastic Tennis Australia support team, League Manager and Tennis Australia staff have still not been able to to complete our programmes and draws for our HTA competitions and the HTA is aware that time is now very tight before the start of season ie a matter of hours away.
Accordingly, we call on all Clubs to please lower your expectations this seasons in terms of the timely release of the programmes and draws for the various HTA competitions. We are still hoping to have something in place for everyone prior to season start but it will be very literally “last minute” eg the night before and will no doubt this rushed process will have errors and consequences that will also need to be resolved in turn. Therefore, in anticipation of all of this time critical and potentially pressuring administration, the MC invites you to please cheerfully participate in this experiment along with us at HTA and you can be assured that the HTA MC is far more concerned about the whole situation, than we expect you will ultimately be.
In addition to your Club still needing to know its draws, court allocations etc etc, the MC is also aware that you will want to know how to add your players to your teams on the new League Manager and also how to record your results using the new Match Centre. Some of you may already have received an automated email from League Manager advising how to access your own logins and use these new systems. We know that not all of you will have received this information. There are also scoring ‘apps’ and other information still to pass on. Unfortunately, as I write this, even if you do log into League Manager, you won’t currently find the information you need because the draws have not yet been able to be published. This is not your fault, not the HTA’s fault. We are still working with Tennis Australia at this last minute, to fix this and all the other issues also. More communication will follow.
More positively, however, the MC is optimistic that once the teething and introductory problems are resolved that the new software may well prove to be quite useful for all of us and it may have many benefits that will ultimately make its introduction worthwhile to the HTA and Clubs. We look forward to your feedback once you have had time to review it all thoroughly.
In the interim, we are all in this together, so please accept our apologies for all the short comings of this season’s commencement eg late communication, late draws, late notice of procedures etc etc. If any of you are particularly upset by this, the HTA will be happy to support your complaints and where appropriate, pass them along with our own comments, to Tennis Australia.
It is worth noting that the Tennis Australia support staff are nevertheless being very helpful in trying to mitigate the damage to our competitions. They are working daily on the software faults and issues with us and the HTA is very appreciative of their enthusiastic and helpful approach. The MC is hopeful that all matters will be resolved by Tennis Australia during this coming week and we will keep you updated either way.
For now, thanks again for your patience and understanding.
PS Night Tennis starts on Tue 6th (only two days time) and if the software, online draws and results recording processes are not ready by then, then you can please refer to paper based draws and scoring until the new software system is up and running. Seniors also starts next Sat 10th but the MC is very hopeful to have draws and more info on the software usage and processes to you prior to then, but it will be very last minute and once again we apologise and thanks for your understanding.
Happily, the fun and challenge of the great game of tennis should transcend these temporary administrative problems and we wish all players and Clubs the very best for an enjoyable and rewarding tennis season in 2015-16.
